You Bought the AI Subscription. Now What?

Most businesses we talk to already pay for ChatGPT, Copilot or Gemini. It gets used to rewrite emails and summarize the odd PDF, and that is about it.

The useful part, where the AI reads your inbox, pulls numbers from your CRM and sends you a report every Monday without being asked, takes setup. Nobody on your team has the time to figure it out, and the tools change every month.

That is the gap this service fills. We do not build software for it. We set up the AI tools you can buy today, connect them to your business, and teach your people to use them.

Is this a good fit?

A good fit for teams that work in email, documents, spreadsheets and business apps and want practical help adopting AI. If a workflow depends on legacy software or specialist integrations, we assess whether existing tools can support it or whether custom development is needed. See AI-enabling your legacy custom software and AI software development.

Six Things Your AI Consultant Does With You

Everything here uses software you can buy off the shelf. Your consultant does the setup alongside you so you understand how it works, not just that it works.

Pick the Right AI Tool

Claude, ChatGPT, Gemini or Microsoft Copilot, compared against your actual work, your security needs and what you already pay for.

Connect Your Apps

MCP connectors and built-in integrations for Gmail, Outlook, Google Drive, SharePoint, Slack, Salesforce, Zoho CRM, HubSpot, QuickBooks, Xero and more, so the AI works on your real data, built with the same system integrations discipline we use everywhere.

Scheduled Tasks

Jobs that run on their own: a 7 a.m. inbox summary, a Friday pipeline report, a monthly list of overdue invoices to chase.

Simple Dashboards

Create clear reports or simple dashboards from approved business information. We agree how the information is refreshed, on request, on a schedule or automatically, and include that in the scope.

Shared Projects and Prompts

Claude Projects, custom GPTs or Gemini Gems loaded with your price lists, policies, templates and tone of voice, ready for the whole team.

Security and Admin Settings

Review the selected plan’s data handling and available admin settings, restrict connected-app permissions, and document what staff may share. Agree which actions require human approval and test those controls before handover.

What This Looks Like in a Normal Week

These examples show workflows we can assess for your business. The final setup depends on your systems, subscriptions and available integrations. Customer communications, financial entries and other agreed actions require review before they are sent or applied.

Preparing Customer Quotes

AI helps turn a customer request, approved pricing information and your quote template into a draft quote and cover email. Your team checks the quantities, calculations, pricing and terms before sending. Setup is scoped around your documents, email platform and available integrations.

Managing a Sales Pipeline

Today: Deals go quiet because nobody noticed, and the CRM is only as current as the last time someone had a free hour.

  • Every morning a scheduled task checks the CRM against your inbox.
  • It lists deals with no recent activity, drafts a follow-up for each, and suggests stage updates based on customer replies.
  • On Fridays you get a one-page pipeline dashboard: what moved, what stalled, what is likely to close.

Typical setup: HubSpot, Salesforce, Pipedrive or Zoho connector, email connector, two scheduled tasks

Meeting Summaries and Project Updates

Use approved transcripts, project messages and task information to prepare draft summaries, action lists and status reports. Your team checks decisions, owners and dates before sharing updates or adding tasks to connected systems. We confirm which sources and task-board actions are available during scoping.

A Daily Action Item List

Today: You start the day scrolling the inbox, and the important thing is buried under newsletters and CCs.

  • At 7 a.m. a scheduled task reads your inbox, calendar, CRM and task list.
  • It ranks what needs you today: replies people are waiting on, meetings to prep for, promises you made last week.
  • You get one short list with links, ready before your first coffee.

Typical setup: Gmail or Outlook, calendar and CRM connectors, one morning scheduled task

Invoice Reminders

Use an approved invoice report or supported accounting connection to identify overdue items and prepare reminder drafts. Your team checks payment status, disputed invoices and customer circumstances before sending. We agree the review schedule and any automation requirements during scoping.

Updating the Books in QuickBooks

Today: Bills and receipts pile up in an inbox, then someone types each one into QuickBooks at month end and guesses the category.

  • Vendor bills and receipts arrive by email or get dropped in a shared folder.
  • The AI reads vendor, date, amount and line items, suggests the account and class based on how you coded that vendor before, and creates a draft bill or expense.
  • You or your bookkeeper approve the drafts. A weekly summary flags anything uncategorized, duplicated or out of the ordinary.

Typical setup: QuickBooks Online or Xero connector, email and Drive connectors, entries saved as drafts for approval

Keeping Salesforce or Zoho CRM Current

Today: Reps skip logging calls and emails, new leads sit in an inbox, and the CRM slowly drifts away from reality.

  • Web form leads, customer emails and meeting notes come in through the day.
  • The AI creates new leads and contacts, logs activity to the right account, fills in missing fields and flags likely duplicates.
  • Changes are listed for a quick review before they are saved, so your data stays clean.

Typical setup: Salesforce, Zoho CRM or HubSpot connector, email and calendar connectors

Four Steps, One Consultant, Your Actual Work

Start Small. Grow Only If It Is Paying Off.

AI Fit Session

A paid working session to map selected workflows, assess tool compatibility and produce a written implementation plan with scope and estimated costs. The free discovery call helps determine whether this session is appropriate.

Quick-Start Setup

A focused setup for an individual or small team, covering agreed app connections, initial workflows and hands-on training. Your quote specifies users, workflows, training sessions, timing and the included follow-up period.

Team Rollout

A coordinated rollout with agreed admin settings, department workflows, reference materials, an AI usage policy and team training. Scope, departments, users and support arrangements are confirmed in the proposal.

Ongoing AI Coaching

Ongoing help to improve workflows, resolve setup issues and train your team as tools change. Your monthly plan defines included time, support channels and the work covered.

Advice From People Who Also Build Software

Your Accounts. Your Control.

Accounts remain in your company’s name. We document the agreed configuration, prompts and workflows and provide a clear handover. Ownership of deliverables is set out in the agreement; third-party tools remain subject to their vendors’ terms.

Honest Scope

If a monthly subscription does the job, we will not sell you a build. If it cannot, we will say so before you spend money finding out.

A Path When You Outgrow It

Our consultants work next to the engineers who build custom AI chatbots, integrations and automation. If off-the-shelf hits a wall, you already know who to call.

Here Since 1998

We have supported some clients for over 20 years. We plan on still answering the phone when the next round of AI tools shows up.

How We Keep AI Useful and Accountable

  • AI outputs can contain errors. We agree where review is required and configure supported approval steps before customer communications or financial and business-record changes are applied.
  • We assess how AI fits your existing systems and explain integration limits before setup.
  • For sensitive information, we review the proposed data use, vendor terms and available controls with the people responsible for your organization’s requirements.

Frequently Asked Questions

Do I need to buy new software?

You may be able to use tools your business already pays for. Some workflows require a different AI plan, additional integrations or an automation service. We list setup fees, subscriptions and expected usage charges separately in the proposal.

Which is right for our business: ChatGPT, Claude, Gemini or Copilot?

We compare suitable tools against your team’s tasks, existing subscriptions, data requirements, integration needs and budget. We recommend the option that fits the agreed work and explain any limitations before setup.

What is an MCP connector?

MCP is a standard that some AI tools use to connect to other applications. What a connection can read or change depends on the connector, AI platform and permissions. We check those capabilities before recommending a setup.

Will you write custom code?

No. This service is setup, configuration and training only. If we find a job that really needs custom software, we will tell you and quote it separately, and you are free to say no.

Is our company data safe?

We review the selected vendor and plan, configure available access and data controls, and limit connected-app permissions to the agreed work. Your team receives practical guidance on what it may share and which outputs require review. Data handling depends on the tools, settings and use case.

How long until something is actually running?

Timing depends on the workflows, access approvals and integration requirements. We confirm the delivery schedule in your proposal and start with a focused workflow before expanding.

Can you train our whole team?

Yes. Team Rollout includes sessions for each department using their own work, plus a short reference guide they can come back to. For deeper workflow changes, pair it with our business process consulting.
